Asset Assignments

In the Asset Management menu, select Assigned Assets to see all the assets assigned to internal and external people.  Use this section to easily assign or return an asset.  Use the Quick Search to look for certain people or certain assets.

You can also assign and return assets directly from the Personnel record in the Assets section.

Asset Inventory

In the Asset Management menu, select Badges, Cards, Electronics, Keys or Miscellaneous to add an inventory item, edit information about the item, or delete items (except for badges which cannot be deleted).

To make it easy, you do not need to go to the Asset Assignments list to assign an item or return an item.  Those processes can be done directly in the Asset Inventory sections of Badges, Cards, Electronics, Keys, or Miscellaneous.

External Users of Assets

In the Asset Management menu, select External Users to add a new asset external user or to edit an existing external user.  An external user is someone whose record is not in the personnel section of PeopleWerksHR as an employee, substitute or volunteer.

Click on Add External User to add the name and other information about the asset user.  The External User ID defaults to a system generated value but you can enter your own ID as applicable.

Asset Settings & Defaults

In the Admin/Config menu, select the System Administration & Functional Settings tab.  If you have the Asset Management permissions, you will see Asset Settings & Defaults under the Asset Configuration section.

Select the defaults from the dropdown lists.  If you need a different default value, you must enter it in the status or location lists first.

Asset Vendor

In the Admin/Config menu, select the System Administration & Functional Settings tab.  If you have the Asset Management permissions, click on Vendor List under the Asset Configuration section.

To add an asset vendor name, click on + Vendor Name.  

Enter the vendor name.

Enter the vendor category or select from the dropdown list.

Enter the vendor contact name.

Select one or more asset types that the vendor applies to.

Asset Location

In the Admin/Config menu, select the System Administration & Functional Settings tab.  If you have the Asset Management permissions, click on Asset Location under the Asset Configuration section.

To add an asset status, click on + Asset Location.  

Enter the location name.  (examples:  lockbox, vault, employee possession, lost, etc.)

Select one or more asset types that the location applies to.

Asset Status

In the Admin/Config menu, select the System Administration & Functional Settings tab.  If you have the Asset Management permissions, click on Asset Status under the Asset Configuration section.

To add an asset status, click on + Asset Status.  

Enter the status description.  (examples:  Assigned, Destroyed, Lost, etc.)

Select one or more asset types that the status applies to.

Asset Type

In the Admin/Config menu, select the System Administration & Functional Settings tab.  If you have the Asset Management permissions, click on Asset Types under the Asset Configuration section.

To add an asset type, click on + Asset Type.  

Select a category from the dropdown list.  These categories are predefined.  Select the category of Miscellaneous if the asset is not a badge, card, key, or electronic device. 

Enter the asset type name.

Enter whether the asset is re-assignable or not.  For example, a name badge would be an asset that would not be re-assignable to someone else.

For the asset type, there are specific data fields associated with the type based on the category selected.  You can override the default field labels based on your needs.  You can also enter a tool tip for the user.  Note that the field type is predefined and cannot be changed.
