Data Dictionary

You can customize many of the field names to match the language/terminology that you use in your own organization.  You also can change the user-defined field names to something more meaningful than just “Additional Field 1”, for example.

To make these changes, use the System Administration & Functional Settings section in the Admin/Config menu and select the Data Dictionary.  Note that there are many tabs to look through to find the fields that you want.  Enter the desired field label in the  Override box.  Tooltips can also be added which allow for a longer description of the field contents to be shown when you “mouse over” the field.

 

 

 

 

Supervisors and Evaluators Lists

There are two places where the list of supervisors and evaluators can be managed in PeopleWerksHR.  For an individual setting, use the  Jobs/Evaluations section of the personnel record to mark if someone has additional duties such as being a supervisor, evaluator, mentor, and/or facilitator.

To manage the complete list of supervisors and evaluators, use the   “Employee Other Duties” section found in the System Data Management area of the Admin/Config menu.

Simply click on the applicable duties boxes for an individual.  Use the  column sort feature to find all supervisors or evaluators or use the Quick Search to find them.

 

Setting these duties provides the options for the dropdown list in the Base Job area for employee supervisor and evaluator and in the Resident Educator area for the employee mentor and facilitator.

 

Termination Reasons

Use the System Data Management section in the Admin/Config menu to manage your Employee Termination Reasons list that is used in the dropdown list for data entry.

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the employee records.

Status Lists

Use the System Data Management section in the Admin/Config menu to manage your master lists that are used in dropdown lists for data entry.  Status-related lists are:

  • Employee Status
  • Job Status

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the employee records.

Personnel Groupings Lists

Use the System Data Management section in the Admin/Config menu to manage your master lists that are used in dropdown lists for data entry.  Special group-related lists are:

  • Unions
  • Departments
  • Special Groups
  • Job Classifications

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the employee records.

Volunteer Type and Assignments List

Use the System Data Management section in the Admin/Config menu to manage your master list of Volunteer Types and Volunteer Assignments which contain the assignment name, the work building, supervisor, and any notes.

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the volunteer records.

Training Data Lists

Use the System Data Management section in the Admin/Config menu to manage your master lists that are used in dropdown lists for data entry.  Training related lists are:

  • Training Courses
  • Exams/Tests
  • Resident Education Program Levels
  • Special Designations
  • Permits (non-education licenses and permits) – (examples of RN, OT, PT licenses,  etc.)

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the employee records.

Pay Data Lists

Use the System Data Management section in the Admin/Config menu to manage your master lists that are used in dropdown lists for data entry.  Pay related lists are:

  • Pay Types
  • Pay Periods
  • Pay Groups
  • Tax Codes
  • Budget Codes

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the job records.

Demographic Data Lists

Use the System Data Management section in the Admin/Config menu to manage your master lists that are used in dropdown lists for data entry.  Demographic data related lists are:

  • Race/Ethnicity
  • Marital Status
  • Citizenship Status
  • Birthdate Verification

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the employee records.

Position Management Lists

Use the System Data Management section in the Admin/Config menu to manage your master lists that are used in dropdown lists for data entry.  Position management related lists are:

  • Position Statuses (open, filled, etc.)
  • Position Types (regular, supplemental, contract, etc.)
  • Position Appointment Types (classified, certificated, etc.)

Click the button for adding a new option to the list or click on the edit icon for modifying the details of one of the existing options.  Before deleting an option, you will want to run a report to see if the option is being used in any of the position records.
